Automobile Claim Process

What Is Covered

  • All costs, including defence costs, for Third Party Liability for bodily injury or property damage to others arising from the ownership, use, or operation of all licensed vehicles which are owned or leased by the University
  • The University self-insures property loss and damage to vehicles it owns or leases, subject to certain exclusions, and the deductible

Deductibles

Each claim is subject to a deductible which will be the responsibility of the department. For fleet vehicles, and rentals through the vehicle pool, the deductible will be charged back to the speedcode the vehicle was rented through. For department-owned or short-term rental vehicles, the file handler will confirm how to apply the deductible with the department submitting the claim.

Deductibles can only be waived when Risk Management and Insurance is successfully able to recover the claim costs from an at-fault party or their insurer.

What Is NOT Covered

  • Personal vehicles (ie employee or volunteer-owned vehicles) and belongings
  • Fines or tickets
  • Vehicles operated under the influence of drugs or alcohol, or by someone not authorized by law to drive

Fleet Vehicle Claims

For claims involving vehicles taken out from Transportation Services (ie fleet vehicles, or vehicles leased through Transportation Services), contact Transportation Services at 780.492.1920 or 780.492.4833 (after hours). They can arrange for the vehicle to be repaired and will charge Risk Management and Insurance for the cost of repairs. We will then charge the deductible to the speedcode from which the vehicle was rented, unless otherwise requested.

Department-Owned Vehicles

Vehicles owned directly by a department or faculty, who manage maintenance and repairs directly should discuss the steps to arranging for repairs directly with the file handler at Risk Management and Insurance before proceeding with any repairs; generally, we ask for 2 competitive estimates for the repairs.

Rental Vehicles

When renting a vehicle through a rental agency for short-term needs or approved University business, purchasing coverage directly from the rental agency is preferred. If the additional insurance was not purchased, we will ask that you report a claim through insurance provided by the University of Alberta Corporate Purchasing Card (P-Card) or personal credit card that the rental was purchased on.
