Registered Student Groups
Approvals and actions required for off-campus activity and travel involving registered student groups.
Please note that Faculty-Managed Student Groups are to be approved via the Academic Programs process.
If you haven't already, please assess the overall risk level for your off-campus activity or travel before proceeding.
Required Approvals
- Risk level 1 (low): By definition, travel with undergraduate students cannot be low risk
- Risk level 2 (medium): Delegate in the Office of Student Success and Experience with Subject Matter Expert* review
- Risk level 3 (moderate): Manager-level Delegate in the Office of Student Success and Experience with Subject Matter Expert* review
- Risk level 4 (high): Assistant Dean in consultation with the Vice-Provost and Dean of Students or Associate Vice-President, Student Experience with Subject Matter Expert* review
- Risk level 5 (extreme): Registered student group activities assessed at an extreme risk level will not be approved
Pre-travel Checklist
Risk level 1 (low)
Within Canada
- Follow the risk mitigation process as outlined in the Rubric Event Form
- Obtain all necessary approvals
International Travel
If the trip involves undergraduate students and international travel, by definition, the activity cannot be Low Risk
Risk levels 2-4 (medium to high)
Within Canada
- Follow the risk mitigation process as outlined in the Rubric Event Form
- Obtain all necessary approvals
International Travel
- Follow the risk mitigation process as outlined in the Rubric Event Form
- Follow International Education and Enrolment (IEE) process for international travel
- Obtain all necessary approvals
- Register in UGO. This will also register your travel with International SOS (ISOS).
- Download the International SOS (ISOS) Assistance App. It provides immediate updates on incidents or advisories, as well as a point of contact for security or health assistance in the event of an incident.
