Registered Student Groups

Approvals and actions required for off-campus activity and travel involving registered student groups.

Please note that Faculty-Managed Student Groups are to be approved via the Academic Programs process.

If you haven't already, please assess the overall risk level for your off-campus activity or travel before proceeding.

Required Approvals

  • Risk level 1 (low): By definition, travel with undergraduate students cannot be low risk
  • Risk level 2 (medium): Delegate in the Office of Student Success and Experience with Subject Matter Expert* review
  • Risk level 3 (moderate): Manager-level Delegate in the Office of Student Success and Experience with Subject Matter Expert* review
  • Risk level 4 (high): Assistant Dean in consultation with the Vice-Provost and Dean of Students or Associate Vice-President, Student Experience with Subject Matter Expert* review
  • Risk level 5 (extreme): Registered student group activities assessed at an extreme risk level will not be approved
*Subject Matter Expert (SME) may be any one of: Faculty Health and Safety Advisors; Health, Safety + Environment (HSE); Risk Management and Insurance; International Education and Enrolment.

Pre-travel Checklist

Risk level 1 (low)

Within Canada

  • Follow the risk mitigation process as outlined in the Rubric Event Form
  • Obtain all necessary approvals

International Travel

If the trip involves undergraduate students and international travel, by definition, the activity cannot be Low Risk

Risk levels 2-4 (medium to high)

Within Canada

  • Follow the risk mitigation process as outlined in the Rubric Event Form
  • Obtain all necessary approvals
